The Administrative Assistant provides administrative support for the grantmaking functions and related activities of program officers of the Hall Family Foundation and administers the Hall Family Foundation Scholarship Program. This position involves the use of a database to track grant applications from non:profit organizations in the local community, requires contact and communication with various levels of management, both within and outside of the organization, and deals with confidential information from time to time.
More specifically, the person filling this position will enter requests and contact information into the grant database, finalize draft letters, distribute letters and checks to grantees, manage flow of mail and phone calls, greet guests, schedule meetings, order supplies, maintain files, make travel arrangements and file expense reports and prepare and distribute board books for quarterly meetings.
This position also administers the Hall Family Foundation Scholarship Program. This requires working with an outside vendor to maintain the website and download data into an Access database. The position issues internal communication to promote the program to Hallmark employees, provide applicants, nominators and schools with pertinent information as well as obtain needed information, enter data for awardees, coordinate and prepare materials for the scholarship committee and distribute checks and letters to all recipient schools.
We also rely on this position to process monthly expense payments and matching gifts, research historical activities and past payments, assist with compiling information needed for planning, and performing miscellaneous reporting using the grants database and Excel.

This position has a part:time schedule of 24 hours per week

:High School Diploma, GED or equivalent
:2+ years work experience as an Administrative Assistant
:Proficiency in Microsoft Word, Excel, Powerpoint and Outlook (external candidates will be tested during on site interviews.)
