Position Summary 13;
Under minimal supervision, performs administrative duties for a senior executive staff member including but not limited to: managing schedules, arranging appointments, travel, meetings, and conference calls.

Accountabilities 13;
:Schedules and makes all logistical arrangements for meetings; attends and takes minutes; transcribes, prepares and distributes minutes to appropriate parties
:Arranges travel plans for executive and/or other staff members. Prepares expense reports and travel reports
:Acts as liaison between executive and all other contacts, including other executives (internal and external), divisional managers, board members, government officials, brokers, providers, and plan members
:Facilitates communication to and from executive by staying informed of divisional, company and other relevant issues
:Maintains calendar and schedules appointments for executive, prioritizes meetings based on executives requirements
:Opens, screens, and prioritizes mail for executive. Handles all correspondence that doesnt need direct attention of executive
:Receives and screens all phone calls for executive. Handles all calls that dont require executives direct attention
:On own initiative, composes letters and other correspondence on behalf of the executive. At executives request, prepares reports and presentations with minimal direction
:Prepares divisional budget variance report and prepares divisional budget submission
:Completes special projects as assigned 13;

Minimum Requirements 13;
:Associates Degree, preferably in secretarial science or a related field
:Five (5) years of direct experience including work of a highly responsible and confidential nature for a member of management; or any combination of education and experience providing the types and levels of knowledge, skills, and abilities required by the job
:Five (5) years of experience utilizing Microsoft Windows and intermediate to advance functions of Microsoft Word, Excel, and PowerPoint
:Five (5) years of experience presenting information in one:on:one and small group situations to customers, clients, other executives, board members, and other employees of the organization as well as executives and contacts from outside the company
:Five (5) years of experience writing reports, business correspondence, and procedure manuals 13;
Preferred Requirements 13;
:Eight (8) years of related experience including work of a highly responsible and confidential nature for a member of management 13;
